Rent collecting

Landlords, collecting rent is the most important thing you will do each month. It will sometimes be the hardest but, your financial survival depends on it. It calls for business smarts and people skills. If the rent is late, you will need to talk to your tenant or give them a reminder letter indicating the due date. You will also need to inform them that any agreed upon late penalties or fees must be paid.

Some landlords may want to give tenants a grace period but most experts agree that it makes better business sense to impose a late payment penalty a day or two later or charge their tenants an additional small fee for each day rent is late. Whatever you decide, everything must be in writing in the lease or rental agreement.

Landlords, be sure to provide the your tenants with your contact information. This will be the method of communication which allows them to reach you if they have a question or complaint. It can be a phone number and/or an email address. Unless it is an absolute emergency, be sure they know to only phone you during normal business hours, 9 a.m. to 5 p.m.

Raising rent after a dispute or complaint

If your tenant made a complaint or you recently had a dispute, it is not advisable to turn around and raise the rent. If you do, it might look like you are harboring bad feelings and raising the rent in retaliation. Many states specifically prohibit raising rent within a time period established by state law. Landlords, be sure to change the locks

Before a new tenant moves in, you should always change the locks on the doors to avoid any issues. This is done for both the safety of the tenant and to protect yourself from liability. You would not want a previous tenant having the keys to a new tenant's apartment.

Move-In Day

Landlords, on your tenant’s actual move-in day, it is a good idea to go over a move-in checklist with them. The checklist should describe the condition of the property as a whole and each room in detail. The move-in checklist is important as it allows you to compare the condition of the property when the tenant moves in to the property’s condition when the tenant moves out. You and the tenant(s) should sign and date the checklist and be sure to provide your tenant with a copy for their records.

What to look for in a credit report

Landlords, in order for you to make a decision, you will need to review the results of a credit check and look for:
  • unpaid accounts
  • chronic late payments
  • bankruptcies
  • and, if provided, eviction history or judgments against them
It is important to look at how much debt your prospective tenant has. Even if they have been paying their bills on time, if a large majority of their income each month is already committed, they may have difficulty paying their rent on time.

Landlords, are you going to charge an application fee to run a credit check?

Some landlords believe that charging an application fee to run a credit check will save them money in the long run because prospective tenants with poor credit will usually not consent to pay. Others are afraid that charging a fee will deter good tenants from applying to rent their property.

You can decide to charge the upfront fee and, if the tenant rents the apartment, deduct the fee from either the first month’s rent or add it to their security deposit. Another option is to only perform credit checks on applicants that leave a deposit for the apartment and have completely filled out the application. This way you know that they are truly interested in renting your property.
